Dogan's Sugar Limited ("we", "us", "our", "the Company") operates the Dogan's Sales Reports mobile application ("the App"). This Privacy Policy explains what information we collect from users of the App, how we use it, how we store it, and your rights regarding your data.

The App is an internal business tool provided exclusively to employees and authorized representatives of Dogan's Sugar Limited for field sales reporting and target tracking purposes.

1. Information We Collect

1.1 Account Information

When your account is created by a company administrator, the following information is stored:

• Full name
• Employee manager code (used for login)
• Role within the organization (admin or manager)
• Reporting hierarchy (your manager relationship)
• Employment start date

1.2 Profile Information

You may optionally provide:

• Profile photograph — used to identify you within the App to other team members
• Display name updates

1.3 Location Data

When you create a field report, the App collects your precise GPS location (latitude and longitude) to tag the point-of-sale location you are reporting from. Location is collected only at the moment of report creation and only when you have granted location permission. We do not track your location in the background or continuously.

1.4 Photos, Audio, and Documents

When creating reports, you may attach:

• Photos — captured via the device camera or selected from your gallery, documenting product displays, pricing, and store conditions
• Voice memos — audio recordings providing verbal notes about field observations
• Documents — files such as Excel spreadsheets, Word documents, or PDFs relevant to your report

These files are uploaded to our servers and associated with your report. They are accessible only to you and your managers in the reporting hierarchy.

1.5 Report Data

The content of your field reports, including:

• Point-of-sale location name and type
• Product information (names, quantities, prices)
• Notes and observations
• Date and time of submission

1.6 Sales Target Data

Your sales targets and progress entries, including:

• Target descriptions and values assigned by administrators
• Progress reports you submit against those targets
• Verification status set by administrators

1.7 Device and Technical Information

We collect limited technical information to ensure the App functions correctly:

• Firebase Cloud Messaging (FCM) token — for delivering push notifications to your device
• Authentication tokens — stored securely on your device for maintaining your login session

We do not collect device identifiers, advertising IDs, browsing history, contacts, call logs, SMS messages, or any data unrelated to the App's business functionality.

3. Data Storage and Security

• All data is transmitted over encrypted HTTPS/TLS connections.
• Authentication tokens are stored on your device using Android EncryptedSharedPreferences, which uses AES-256 encryption.
• Server-side data is stored in a secured PostgreSQL database hosted on our private infrastructure.
• Media files (photos, voice memos, documents) are stored in secured cloud storage (Azure Blob Storage) with access restricted to authenticated API requests.
• Reports created offline are stored in a local encrypted database on your device until they are synced to the server.

4. Data Sharing

We do not sell, rent, or share your personal data with any third parties. Your data is accessible only to:

• Your managers in the company reporting hierarchy (they can view your reports and target progress)
• Company administrators who manage the system
• You (your own data is always accessible to you)

Third-Party Services

The App uses the following third-party services, each governed by their own privacy policies:

• Google Firebase Cloud Messaging — for push notification delivery (Firebase Privacy Policy)
• Microsoft Azure Blob Storage — for media file storage (Microsoft Privacy Statement)

These services process only the minimum data necessary for their function (device token for notifications, file content for storage). No personal data is shared with these providers for advertising or profiling purposes.

5. Data Retention

• Your data is retained for as long as your employment with Dogan's Sugar Limited continues and your account remains active.
• Field reports and associated media are retained for business record-keeping purposes as required by company policy.
• Upon account deactivation or employment termination, your account access is revoked. Historical report data may be retained for legitimate business purposes.

6. Your Rights

As a user of the App, you have the right to:

• Access — view all data associated with your account through the App
• Correction — update your name and profile photo through the App
• Deletion — request deletion of your account and associated data by contacting your administrator or emailing us at the address below
• Withdraw consent — revoke location or camera permissions at any time through your device settings (note: this may limit App functionality)

The App is not intended for use by anyone under the age of 18. We do not knowingly collect data from children. The App is restricted to employees and authorized representatives of Dogan's Sugar Limited.

We may update this Privacy Policy from time to time. Any changes will be reflected by updating the "Last Updated" date at the top of this page. Continued use of the App after changes constitutes acceptance of the revised policy.
